Introduction

This Privacy Policy describes how azlabs ("we," "us," or "our") collects, uses, and protects information when you use our AI assistant services, including persistent AI "Second Brain" systems deployed on your behalf (collectively, the "Services").

Our Services include AI-powered assistants that integrate with your email, calendar, task management, and other business tools to provide personalized assistance. By using these Services, you consent to the collection, processing, storage, and use of your information as described in this Privacy Policy.

What Information We Collect

Account & Contact Information

When you engage our Services, we collect your name, company name, email address, and other contact information necessary to set up and administer your account.

Phone Number & SMS

Some of our forms let you optionally provide a mobile phone number and separately opt in to receive text messages from AZ Labs. Providing a phone number is never required, and consent to receive text messages is never a condition of downloading a resource, booking a call, or purchasing anything from us.

When you opt in, we record the date and time of your consent and the exact wording of the consent language you agreed to, so we can demonstrate that consent was given. We use your mobile number only to send messages related to the resource or call you requested — confirmations, reminders, and follow-ups. Message and data rates may apply, and message frequency varies. You can opt out at any time by replying STOP, or reply HELP for assistance.

Email Data

With your explicit authorization via Google OAuth, our Services access your email inbox to provide AI-powered assistance such as drafting replies, summarizing messages, and managing follow-ups. We request only the minimum scopes necessary (read-only or send access as required by your configuration).

Your email data is processed locally on your dedicated hardware and is never shared with other clients, stored on shared servers, or used to train AI models.

Calendar Data

With your authorization, we access your Google Calendar to provide scheduling assistance, availability checking, and meeting summaries.

Task & Project Data

If you connect task management tools (such as Notion), we access your tasks and projects to provide prioritization assistance and status updates.

Conversation Data

Messages you send to your AI assistant (via Telegram, web dashboard, or other interfaces) are stored locally in your dedicated database to provide memory and context continuity across sessions.

Analytics & Diagnostic Information

We may collect standard analytics data such as service uptime, error logs, and usage patterns to maintain and improve the Services. This data does not include the content of your emails, messages, or documents.

How We Use Your Information

We use the information we collect to:

  • Deliver and operate your AI assistant Services
  • Process and respond to your requests and instructions
  • Maintain memory and context for your assistant across sessions
  • Provide customer support and troubleshoot issues
  • Improve the reliability and performance of our Services

Data Isolation & Security

Each client's AI assistant runs on dedicated, isolated infrastructure. Your data is never commingled with another client's data. Specifically:

  • Dedicated hardware: Each assistant runs on its own machine with its own database, ensuring complete data isolation.
  • Per-client authentication: OAuth tokens are scoped to your specific accounts and stored only on your dedicated hardware.
  • No cross-client access: Your assistant cannot access, read, or reference any other client's data under any circumstances.
  • Encryption: Data is encrypted in transit (TLS) and at rest on your dedicated hardware.

Google API Services

Our use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Specifically:

  • We only request access to the Google API scopes necessary to provide our Services.
  • We do not use Google user data for advertising purposes.
  • We do not sell Google user data to third parties.
  • We do not use Google user data to train general-purpose AI or machine learning models.
  • Human access to Google user data is limited to what is necessary for support, debugging, or legal compliance, and only with your consent.

Third-Party AI Services

We use Google Gemini AI as the large language model that powers features such as calendar scheduling assistance, summarization, agent reasoning, and content generation. Only the minimum context needed to complete a specific task is sent to Gemini — not your full mailbox, calendar, or document library in bulk, and never credentials or OAuth tokens.

We access Gemini through Google's paid API. Under Google's Gemini API terms, prompts and responses sent through the paid API are not used to train Google's generative AI models. For a full disclosure of where AI is used and how data is handled, see our AI Transparency page.

Data Sharing & Disclosure

We Do Not Sell Your Data

We do not sell, rent, or trade your personal information or business data to any third parties.

Mobile Information & SMS

Mobile phone numbers and SMS consent are not sold, rented, shared, or otherwise disclosed to third parties or affiliates for their marketing or promotional purposes. Information sharing with subcontractors who perform services on our behalf, such as messaging providers and customer support platforms, is limited to what is necessary to deliver the messaging service, and those parties are prohibited from using the information for any other purpose. Service Providers

We may use trusted third-party services (such as cloud infrastructure providers or AI model providers) to operate portions of the Services. These providers are contractually obligated to protect your information and may only use it to perform services on our behalf.

Legal Requirements

We may disclose your information if required to do so by law, or in response to valid legal process such as a subpoena, court order, or government request.

Data Retention

We retain your data for as long as your account is active and you are using our Services. If you cancel your account, we will delete your data from our systems within 30 days, including all stored memories, conversation history, and cached embeddings. Backup copies may persist for up to an additional 30 days before automatic deletion.

Your Rights

You have the right to:

  • Access: Request a copy of the data we hold about you.
  • Correction: Request correction of inaccurate data.
  • Deletion: Request deletion of your data at any time.
  • Revoke access: Disconnect Google or other integrations at any time through your account settings or by revoking access in your Google Account security settings.
  • Data portability: Request an export of your stored data in a standard format.

California Residents (CCPA)

If you are a California resident, you have additional rights under the California Consumer Privacy Act, including the right to know what personal information we collect, the right to delete your personal information, and the right to opt out of the sale of your personal information. As stated above, we do not sell personal information.

EU/EEA Residents (GDPR)

If you reside in the European Union, European Economic Area, United Kingdom, or Switzerland, you may have additional rights under the General Data Protection Regulation (GDPR), including the right to access, rectify, erase, restrict processing, and port your personal data. Changes to This Policy

We may update this Privacy Policy from time to time. If we make material changes, we will notify you by email through the primary email address associated with your account at least 30 days before the changes take effect. Your continued use of the Services after the effective date constitutes acceptance of the updated policy.
